About Grad Night…

Grad Night celebrations begin in the mid-eighties as staggering statistics were proving that graduation night is potentially the most dangerous night of a high school student’s life.  In past years it was common for students to graduate and then go out to party and drink all night; many deaths have been attributed to this behavior a fact in which most of us know too well.  Parents then decided to join together and provide celebrations that would allow students to be together one last time as a class and celebrate in an environment that was alcohol and substance free.

Needless to say, this is a celebration that is much anticipated by the seniors, since this will more than likely be the last time they can be together with their fellow classmates.  The celebration begins with the seniors leaving graduation and meeting back at the school to board buses that will transport them to the Grad Night celebration location reserved just for their use.  At this location will be games, music, food, prizes, and other festivities all during the night.  Once at the location the students will not be able to leave until their return back to Wheatland High School around 5:00 a.m. the next morning.

A celebration of this magnitude involves a great deal of work and the seniors appreciate the time, effort, and contributions of the senior parents and other volunteers who solely sponsor this annual event.  The Grad Night Committee will need to raise a significant amount of money in order to provide the seniors a memorable celebration.  It is because of hard work and dedication from parents, volunteers, friends, family and the Wheatland community that will ensure that the 2012 Wheatland High School Grad Night Celebration is a success. 

The 2012 Wheatland High School Grad Night Committee invites you to volunteer to help make this Grad Night celebration a memorable one for our seniors.

Sub-Committees

Decorating:  The decorating committee will be responsible for all aspects of decorating the Grad Night Event venue.  The committee lead responsibilities include purchasing, set-up, tear-down and distribution of other duties to the volunteers in the sub-committee required with decorating the event venue.  Committee lead will provide in progress status.

Food: The food committee will be responsible for ensuring that food/drinks will be at the Grad Night Event.  The committee lead responsibilities include coordinating/securing food items from the providers, ensuring prompt delivery and or pick-up of food items and distributing any other duties to the volunteers in the sub-committee required to ensure food is available. Committee lead will provide in progress status.

 Transportation:  The transportation committee will ensure that all necessary paperwork and coordination with the school transportation department has been accomplished.  The committee lead will be responsible for contacting school officials, ensuring volunteers are in place for check-in of students on bus upon departure and upon arrival after the Grad Night event and distributing any other duties to the volunteers in the sub-committee required to ensure that transportation has been secured.  Committee lead will provide in progress status.

Entertainment: The entertainment committee will ensure that all aspects of entertainment for the Grad Night event have been secured.  The committee lead will be responsible for contacting the vendors for music, special activities, games, etc. and distributing any other duties to the volunteers in the sub-committee required to ensure that entertainment has been secured. Committee lead will provide a status of any entertainment secured and or future entertainment required.

Fundraising:  The fundraising committee will ensure that all aspects of fundraising for the
Grad Night event have been secured.  They will present fundraising ideas to the Grad Night Committee and will be able to show results for their actions.  The committee lead is responsible for making all arrangements for the particular fundraiser, establish any ground rules or procedures, contact all necessary parties regarding the particular fundraiser, be able to provide the Grad Night Committee officers and committee outcomes (monies raised or not) of the fundraiser and distribute any other duties to the volunteers in the sub-committee required to ensure that the fundraising efforts are a success. Committee lead will provide a status of ongoing fundraising and or future fundraising.

Media/Public Relations: The Media/Public Relations committee will ensure that all aspects of the Grad Night event are available for the public via internet (Grad Night website), flyers, and information forwarded to newspapers, school website, any advertisements regarding Grad Night events, fundraisers, or informational awareness, etc.  The committee lead will ensure that messages will be provided to as many public avenues as possible, will update the Grad Night website with any pertinent information and distribute any other duties to the volunteers in the sub-committee required to ensure successful contact with the public.  Committee lead will provide status of work done or to be completed at each meeting.

Donations: The donations committee will manage all donations received in reference to Grad Night.  The committee lead will be responsible for drafting the donation letter request, ensuring the letters are mailed appropriately, is the point of contact for any donations received (check, cash, etc.)  Will work with the WHS Cashier (Ms.Embree) and the Grad Night Treasurer  to ensure that any funds received are immediately deposited into the account, thank you ads or letters of appreciation to appropriate donors, also provide a status of donations received when requested, but at a minimum during each Grad Night Committee Meeting.

Volunteer list: The Volunteer committee will manage the list of volunteers and place the volunteers in areas where they are needed.

Prize/Senior Gifts: The prize/senior gifts committee will be responsible for purchasing the senior gifts and prizes for the games and activities.

Concessions: The concessions committee will be responsible for procuring the volunteers to work any concessions that the Grad Night Committee will work.  The committee lead will produce the concessions volunteer list; ensure that all volunteers are there to work during the appropriate dates and times.  Coordinate with the concessions manager on issues related to the concessions.
